Why does reply speed matter so much here?

Because the guest is comparing three properties at once, usually in the evening, usually from a country an hour or two ahead. The one that replies while they are still looking takes the week.

An enquiry that arrives at 23:00 and is answered at 09:30 has been answered after the decision was made. That is the specific loss an always-on agent prevents, and it is concentrated in exactly the hours nobody is staffed.

Can it quote prices that change by season?

It quotes what you publish, including different rates by period, and it should never do anything else. Give it the rate card and it will apply the right one for the dates asked about.

If a date falls outside what you have given it — a period you have not priced, or a special request — the useful behaviour is to say so and hand over rather than guess. A wrong quote on a villa week is expensive to unwind.

Does it handle German as well as Spanish and English?

All three on the same number, following whichever the guest opens with. German matters here more than the headline visitor numbers suggest, and a German enquiry answered in English has already lost some of its advantage.

Ask for a sample in all three before you commit, using your own property names and the words you use for your services.

What about the winter, when we are closed?

That is when it earns its keep. Next-season enquiries arrive from January onwards and most agencies answer them slowly or not at all, because the office is quiet and nobody is watching the inbox.

An agent answers a February enquiry about an August week at the same speed it answers one in June. The competition, in most cases, does not.
